No Two Background Checks are the Same. The Quality Aspect of Background Checks explained!

We’ve written extensively about how vital it is to verify the credentials of every team member in an organization. The need for verification and authenticity is necessary for team building, trust, and integrity of the organization.

Even though these checks are necessary, no two background verification services are equal. The rates, the quality, and the turn around times vary dramatically throughout different offerings and BGV (Background Verification) firms.

The result is that the checks conducted have a degree of error associated with them. The very reason for such error is the manual nature of the checks, including address, education, and employment histories.

The case of education verification

At SpringVerify, we’ve had instances where we found a discrepancy in the education credentials of a candidate who was verified to be authentic previously by a different background check firm. We double-checked the results with another round of checks, and we found the discrepancy. We informed the organization. This shows the deviation in the quality of various checks conducted by different firms.

There are several reasons for such discrepancies. The process employed for background checks is different for different firms. The particular case could be a result of multiple factors which might not even be in the hands of the BGV firm. It could be a manual error, or it could be a result of an intentional cover-up. We’ll never know what’s the case.

The education verification happens through various contacts inside any university. Every BGV firm has multiple layers of communication or vendors who they employ. Different universities have different processes in place for verification. It is digital in some cases like the Manipal University. But in most other universities it could be a clerk handling the verification, manually. We believe this is where the problem starts.

The degree of uncertainty due to manual errors or lack of effort is dramatically huge at the universities with a manual process. There is a significant loss of trust in this case. Yet, it is a necessity to make sure the education histories of the candidates, soon to be teammates, are legit.

This is not to say that the background checks are all flawed. The processes employed by most BGVs make sure that the checks return the highest accuracy possible. And, with the use of trusted sources, you could be certain that the results you see through some of the best services could be trusted to a degree.

But, it is not 100%.

Then there is the case of address checks being operations heavy!

The same level of uncertainty looms around the address checks or any on-field checks. The address verification happens manually by a field agent who has to travel to the address and make sure the candidate resides there.

There are a lot of factors which could go wrong during the verification processes where a person is involved. The results of these checks rely on the authenticity of the individual traveling to the address, not to mention, the amount of time and logistics involved in the process. The number of steps required to make this check further adds to the probability of error in the system.

It all boils down to the lack of online shared databases for these checks.

The very idea of getting background checks done is to bring a level of certainty to the records we already have. If we still have processes which bring a level of uncertainty to the already uncertain result, it doesn’t make sense at all.

The solution though is to have an online database where we could verify these credentials with 100% accuracy. This is something which is within reach considering the present technology. Blockchain and shared ledgers could easily make the address and education information of individuals immutable.

The records could be accurate and immutable for the future. And, we will only have to get the verifications done once at source to build authenticity.

The accuracy part will not happen immediately but will take time. The entire system, including the institutions, the students, and the authorities need to see value in such a database to make the process accurate.
